Privacy Policy
This policy explains how WMS Endpoint Pty Ltd (ABN 12 587 537 181) ("WMS Endpoint", "we", "us", "our") collects, uses, stores, discloses and protects personal information. We handle personal information in line with the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth). By using our website, our chat assistant, or our services, you agree to the handling of your information as set out here.
1. The personal information we collect
Depending on how you interact with us, we may collect:
- Contact details: your name, email address, phone number and company name.
- Account and licence information: device identifiers, licence keys, the apps you use, and purchase or subscription records.
- Payment information: payments are processed by our payment provider (Stripe). We do not store full card numbers on our systems.
- Website chat assistant data: the messages you send and the assistant's replies (the conversation transcript), and any contact details you provide in the chat.
- Technical and usage information: your IP address and the approximate location (such as country, region and city) derived from it, your browser and device type, the pages you view, and the website or campaign you arrived from.
- Correspondence: emails, support requests and any information you send us directly.
2. How we collect it
We collect personal information directly from you when you contact us, fill in a form, start a trial, buy or activate a licence, or use the chat assistant. We also collect some technical information automatically through our web servers and the chat assistant. We may receive information about you from third parties, such as a reseller or distributor who refers you to us. Where it is reasonable and practicable, we collect personal information directly from you.
3. Our AI tools and automated processing
We use artificial intelligence to help us respond to enquiries. We want to be clear about this.
Website chat assistant
Our website chat assistant is powered by AI. When you chat with it, your messages are processed by a third-party AI provider (Anthropic) to generate replies, and the conversation is recorded. The assistant answers general questions about our products, pricing pages, devices and setup. It does not have access to your account, licence or device records, and it does not make any decision that has a legal or similarly significant effect on you. Where a chat indicates you would like a quote, a purchase, a licence action, or further help, the conversation and the contact details you provide are emailed to our team so a person can follow up. Please do not enter sensitive information (such as passwords, payment card numbers or government identifiers) into the chat.
AI email assistant
We also use an AI tool to help draft replies to emails sent to us. Draft replies are prepared with AI and reviewed by our team before any response is sent.
4. Why we collect and use your information
- To respond to your enquiries and provide customer support.
- To supply, activate, renew and manage our software and licences.
- To follow up on sales enquiries and leads, including those captured through the chat assistant.
- To process payments and keep records of transactions.
- To operate, secure, maintain and improve our website and services.
- To meet our legal, tax and record-keeping obligations.
We only use your information for the purposes for which it was collected, for a directly related purpose you would reasonably expect, or where you have consented or the law permits or requires it.
5. Who we share it with
We do not sell your personal information. We share it only as needed to run our business, with service providers who help us operate, including:
- Anthropic, which provides the AI that powers our chat and email assistants.
- Stripe, which processes payments.
- Microsoft, which provides our email and Microsoft 365 services.
- Our hosting provider, which hosts our servers and database.
- An IP geolocation service, which converts an IP address into an approximate location.
These providers are only permitted to use the information to provide their services to us. We may also disclose information where required or authorised by law.
6. Overseas disclosure
Our website and database are hosted in Australia (Sydney). However, some of our service providers, including our AI provider and payment processor, are located in or may process data in the United States and other countries. This means some personal information may be disclosed to, or accessible from, overseas. We take reasonable steps to ensure overseas recipients handle your information consistently with the APPs.
7. Cookies and tracking
Our chat assistant stores a small functional session token in your browser so a single conversation stays connected as you move around the site. This is necessary for the chat to work and is not used to track you across sites. We do not currently use advertising or cross-site tracking cookies. If that changes, we will update this policy and seek your consent first where required.
8. How we keep your information secure
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure, including access controls, encrypted connections (HTTPS) and restricting access to those who need it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. How long we keep it
We keep personal information only for as long as we need it for the purposes described in this policy, or as required by law (for example, tax and business records). Chat transcripts and enquiry records are retained for a reasonable period to manage and follow up enquiries, and are then deleted or de-identified.
10. Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. Contact us using the details below. We will respond within a reasonable time. If we decline a request, we will tell you why.
11. Marketing and your choices
If we send you marketing communications, you can opt out at any time using the unsubscribe link or by contacting us. We will not use sensitive information for direct marketing without your consent.
12. Children
Our website and services are intended for businesses and their staff, and are not directed at children under 18. We do not knowingly collect personal information from children.
13. Data breaches
We have procedures to detect, assess and respond to data breaches. If a breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches scheme.
